Information About Your Swimmer Attending USA and Intrasquad Meets

Shannon Clark

Howdy, Aggie Swim Club families!  Welcome to the 2025-2026 season!  We are so excited for a fantastic year!

As we get ready to kick off our first meets next month I wanted to give you all some information about meets and expectations.  If anyone has any questions at any time please do not hesitate to email me at [email protected] .

INTRASQUAD MEETS:

Intrasquad meets are practice meets that include ONLY swimmers from the Aggie Swim Club.  They are held locally at the College Station Middle School or TAMU Rec Center.  These meets are for ALL swimmers on the team, including novice and development.  We encourage all swimmers to attend these meets - they are a great way to see what your swimmer has been working on in practice and how much they have improved from one Intrasquad meet to the next.  Please check our calendar online for dates of scheduled Intrasquad meets here:  2025-2026 Short Course Meet Schedule

MEET ENTRIES:  When an Intrasquad meet is posted to our website you will receive an email.  At that time you will be able to log into your account and choose the events for your swimmer.  We do recommend that you check with your swimmer's coach to choose events for swimmers in novice and development.

TIMING:  These meets will require parents to help time at the meet in order for the meet to happen.  When you arrive at the meet we will have a sign up sheet.  Timing is not hard and we will train all parents before the meet starts.  AS A REMINDER – timing at Intrasquad meets DOES NOT fulfill your annual volunteer requirement of working at our hosted meets.

FEES:  There are NO fees to participate in an Intrasquad meet!

USA MEETS:

USA Meets are a requirement for all swimmers in the age group, junior and senior programs.  We have one USA meet each month, usually located in the Magnolia/North Houston area.  Meets are usually held Friday night, Saturday and Sunday.  Most meets are set up as “split session”, which means that some swimmers compete in the morning and some swimmers compete in the afternoon.  This split could be the 13&Over swimmers in the morning and the 12&Under swimmers in the afternoons or it could be girls in the morning and boys in the afternoon.  A list of our scheduled meets for this season is posted to our website at 2025-2026 Short Course Meet Schedule

MEET ENTRIES:  Once the meet host sends out the invitation (meet information) for a meet we will post it to our website and send out an email letting you know the information is available.  The coaches will have already chosen events for your swimmer and those will be on the website.  You will not be able to change any events for your swimmer online – if your swimmer would like to change events he/she will need to discuss that with their coach.  Since all USA meets are required meets for senior, junior and age group swimmers you will also not be able to decline attending the meet.  The only way to decline attending a portion or all of a meet is to email us at [email protected] prior to the entry deadline.

MEET LOCATIONS: Regular monthly meets listed on our website already show the meet location.  Our championship meets in December and February/March right now show as “TBD”.  That is because there are multiple hosts in our league (LSC) and we will not find out which location we are zoned to until after all meet entries are turned in to a central office and split into locations.  As soon as we know the location we will post it to our website.

FEES:  All USA meets charge fees to enter.  There are 2 different fees – one is a fee for each event – usually between $6-$9 each event – and one is called a “swimmer surcharge” – usually $9-$10 per swimmer.  The swimmer surcharge is automatically charged for all swimmers who are entered in the meet.  (For example – if your swimmer enters 3 events at $9 per event you will be charged 3 x $9 plus the swimmer surcharge).  Entry fees are added to your account once the meet entry deadline passes.

REMINDER – every meet has an entry deadline.  Once that deadline passes we will email our team entries to the meet host.  Once that happens NO CHANGES can be made and you will be responsible for all meet fees, even if your swimmer does not attend the meet.  This is why it is so important for you to make all changes PRIOR to the entry deadline.

TIMING AT MEETS:  All meets require volunteers for the meet to happen.  Most volunteers are provided by the meet host, however, timers are required to be provided by each of the teams attending the meet.  Once the meet host receives all of the entries from all teams attending their meet they will put together a list showing how many timers are required from each team.  When we receive that information we put together a parent timing list for each session of the meet.  When we put that list together we use the final swimmer entry list and we try to be fair and rotate parents from meet to meet so the same parents are not required to time at every meet.  Timing at meets is not hard and the meet host will train you before the meet session starts.  Most timing shifts last 2 hours.  The list we put together will show what events you are required to time for.  When you are listed as a timer – please be respectful of other parents’ time and show up for your shift.  If you do not show up for your shift the coaches will need to find a substitute for you and you will be charged $50 for not showing up and the parent who fills in for your shift will receive that $50.  AS A REMINDER – timing at USA meets DOES NOT fulfill your annual volunteer requirement of working at our hosted meets.

MEET ATTIRE:  All swimmers are required to wear ONLY Aggie Swim Club shirts and caps at all meets.  The usual attire is Maroon on Fridays, Black on Saturdays and Grey on Sundays.  If your swimmer needs any additional shirts or caps we do have them for sale at the CSMS every night, Monday through Thursday.

I’m sure there are many more questions you may have about your swimmer attending meets.  Please do not hesitate to email your questions to [email protected] .
